About the team
The Planning and Building Services Department ensures that building and planning applications meet regulation and legislative requirements.

This includes processing and assessing building related and planning applications including pre-applications, conducting site inspections, facilitating the public notification of planning applications, issuing notices of decisions, conducts planning appeals, answering queries and preparing relevant reports as required. The team also administers and enforces planning and building legislation and represents Council at VCAT, VBA and in courts.

About the role
As a Senior Business Support Officer, you will provide efficient and effective business support across the Urban Planning and Statutory Building Services teams. This includes the administration of the Building Act 1993; the Planning and Environment Act 1987 and the Subdivision Act 1988.

Key responsibilities include:

  • Contributing to the continuous improvement of workflows, templates and quality assurance practices.
  • Providing specialist advice, coaching and quality assurance to other staff in the team, promoting best practice and continuous improvement.
  • Overseeing administrative workflows, including coordinating the processing of planning and building applications.
  • Maintaining accurate data, records and statutory reporting, including filing and storing of planning and building permits and documentation.
  • Managing correspondence, meetings, customer enquiries and legislative documentation, ensuring all tasks meet statutory timeframes and organisational standards.

About you
You are an experienced and highly capable business support professional with a strong understanding of planning, building and regulatory environments. You communicate with clarity, confidence and diplomacy, and are known for your ability to build positive relationships with both internal stakeholders and the community.

You’re approachable and supportive, and you enjoy sharing your knowledge and assisting others, helping to build consistency, confidence and good practice within the team.

The following is also required:

  • Strong administration skills with experience working in a similar role.
  • Some knowledge of the relevant Acts, Regulations, Planning Scheme provisions and Local laws.
  • Ability to convey information with clarity and diplomacy
  • Confidence interpreting plans and regulatory documents
  • Effective critical thinking and judgement skills
  • Ability to navigate sensitive or complex matters and processes with professionalism
  • Experience in the use of financial management, customer request or similar database software
