About the Role
As the Venues Booking Supervisor, you will coordinate the administration of venue hire bookings across Glen Eira Leisure’s aquatic, fitness, recreation and community spaces.
As the primary point of contact for venue hire enquiries, you will provide professional and timely advice to schools, sporting clubs, community groups, businesses and commercial hirers. You will manage the end-to-end booking process, from responding to enquiries and assessing venue suitability through to preparing hire agreements, coordinating operational requirements and maintaining accurate records.
Working closely with teams across Glen Eira Leisure, you will help ensure bookings and events are delivered safely and efficiently while creating a positive and seamless customer experience. The role also contributes to increasing venue utilisation and supporting greater community participation.
Key Responsibilities

Venue Bookings: Coordinate venue hire bookings across Glen Eira Leisure facilities, ensuring accurate scheduling and effective use of available spaces.

Booking Administration: Manage enquiries, bookings, hire agreements, permits, invoicing and associated records.

Events and Programs: Coordinate bookings for school carnivals, aquatic fun days, sporting clubs, swim squads, community groups, service providers and internal programs.

Customer Service: Provide professional and timely advice and respond effectively to customer enquiries, feedback and complaints.

Operational Coordination: Work with internal teams to coordinate staffing, equipment and operational requirements for bookings and events.

Stakeholder Relationships: Build positive relationships with schools, clubs, community groups, businesses, service providers and internal stakeholders.

Performance and Improvement: Monitor booking performance and identify opportunities to improve venue utilisation and the customer experience.

Safety and Compliance: Ensure venue hire and service delivery comply with relevant legislation, Council policies, procedures and safety requirements.

Promotion and Planning: Support the promotion of venue offerings and contribute to business planning and budget development for the Venues and Partnerships area.

Skills and Experience
- Experience coordinating bookings, programs or services within a leisure, recreation, sport, community or venue management environment.
- Experience delivering high-quality customer service and managing enquiries, feedback and complaints.
- Strong organisational and time management skills, with the ability to coordinate multiple bookings and competing priorities.
- Well-developed communication and interpersonal skills.
- Experience building relationships with community groups, schools, sporting clubs, service providers and members of the public.
- Strong administrative skills, including maintaining accurate records and managing confidential information.
- Ability to work collaboratively across teams and independently.
- Sound problem-solving and decision-making skills.
- Proficiency in Microsoft Office and booking or venue management systems.
- Knowledge of workplace health and safety requirements and risk management principles.
Qualifications
- Current Provide First Aid and CPR Certificate.
- Relevant qualifications, training and/or experience within the leisure, recreation or sport industry.
