About the role
Our Councillor Business team, sitting in the broader Legal, Risk and Governance department, is responsible for all matters related to the Mayor and Councillors. As a Councillor Business Officer, you will prepare agendas and reports for Council meetings, keep diaries and schedules up to date, and ensure everything from citizenship ceremonies to Mayoral events run smoothly.  You will also provide guidance to staff on preparing Council reports, running Council meetings and advisory committees, maintaining compliance registers, and ensuring financial records meet policy requirements.

Other responsibilities include:

  • Preparing and distrusting agendas, reports, and minutes for Council, Advisory Committee, and Assembly of Councillors meetings.
  • Providing responsive and confidential administrative support to the Mayor and Councillors.
  • Administering the ‘Councillor Request’ process and maintaining accurate records in line with Council policy.
  • Assisting in the coordination of Mayoral functions, civic events, and citizenship ceremonies (including events outside normal working hours).
  • Managing Councillor diaries, coordinate meetings and events, and ensure briefing materials and documentation are prepared on time.

About you
You are confident working independently, ensure consistency and precision in all tasks, and can juggle multiple priorities. You also have strong skills in Microsoft Office, excellent written communication, and a good understanding of local government processes. If you have previous experience in a similar administrative or governance support role, with strong organisational and time management skills, this could be the perfect opportunity for you.

The following is also required:

  • Demonstrated ability to maintain confidentiality and work closely with elected representatives and senior leadership.
  • Strong understanding of local government functions and the Local Government Act.
  • Knowledge of budgeting principles and financial record management.
  • Ability to work outside normal hours when required.
